InvimÁgil: How to Register Your Company and Authorize Vexpro to Manage Your Cosmetics NSO

Invima has activated the Mandatory Sanitary Notification (NSO) module for cosmetics on InvimÁgil, its new self-management platform. Your company must register and authorize Vexpro directly in the system to keep your filings moving without interruption. Here are the 4 steps you need to complete.

  1. Step 1

    Legal representative account creation

    Your company's legal representative must create a personal account on InvimÁgil using their primary email address, since that is where notifications and electronic signature requests for each filing will arrive.

    • Go to invimagil.invima.gov.co and click "Crear cuenta" (Create account).
    • Complete the general information, location details, and accept the terms and conditions.
    • Activate the account with the PIN sent by email and set a secure password.
  2. Step 2

    Company registration

    Only the legal representative's account can complete this step. The platform guides the registration through six sections, including your tax ID, tax information, and third-party relationships.

    • Go to Empresa > Mis Empresas and select "Inscribir empresa" (Register company).
    • Enter your NIT as registered with the Chamber of Commerce and the company's address.
    • Complete tax information, legal notifications, and locations.
  3. Step 3

    Creating the "Consultor Regulatorio" role

    For Vexpro to act on your behalf without unrestricted access to your company, create a custom role that authorizes only the functions needed for regulatory management.

    • Under Administración de usuarios > Roles, click "Crear rol" (Create role).
    • Name the role exactly "CONSULTOR REGULATORIO".
    • Assign permissions for Registros, Solicitudes, Ingredientes, Ingredientes cosméticos, NSO cosméticos, and Certificados.
  4. Step 4

    Assigning the role to Vexpro

    Link the role you created to our user account so we are formally authorized in the system and can keep your filings moving without interruption.

    • Under Administración de usuarios > Usuarios, click "Añadir usuario" (Add user).
    • Enter the ID number Vexpro will provide and confirm the details match.
    • Select the "CONSULTOR REGULATORIO" role and click "Guardar" (Save).

What changes with InvimÁgil

Invima has officially activated the Mandatory Sanitary Notification (NSO) module for cosmetics on InvimÁgil, its new self-management platform. From now on, every new cosmetics NSO request must be filed exclusively through this digital channel — the traditional Oficina Virtual radication process no longer applies to this specific filing.

Invima's Circular Externa 1000-014-2026 is addressed to the cosmetics sector, but the NSO figure also governs personal care and hygiene products. Both sectors will need to complete the same registration once Invima extends the module to that category.

"Sistematización": the required step for your active NSO

InvimÁgil does not only handle new requests. It also introduces a process called sistematización, which migrates your existing sanitary notifications into the new system. Without completing it, you will not be able to process modifications or renewals for those products.

Invima recommends prioritizing the sistematización of NSO filings that are active or close to expiring, to avoid disruptions to your operational continuity.

Why you should authorize Vexpro as soon as possible

InvimÁgil runs on a self-management model: every titleholder must register and, if regulatory management is delegated to a third party, explicitly authorize that party within the platform. Without that authorization, our team cannot continue representing your company before Invima — not even for filings that were already in progress.

Complete the four steps above as soon as possible so there are no gaps in the management of your registrations.

Frequently asked questions

What happens if I don't authorize Vexpro in time? Without the role assigned in InvimÁgil, we will not be able to access or manage your filings within the platform, including those already in progress under the traditional Oficina Virtual.

Should I create an additional user for payments? It's advisable. You can create a second user for the person in charge of payments at your company and assign them the default "Financiero" role, separate from the "Consultor Regulatorio" role that authorizes Vexpro.

Does the same apply to personal care and hygiene products? The current circular covers cosmetics. Personal care and hygiene products share the NSO figure and will follow the same self-management model once Invima extends the module to that sector — we will notify you as soon as it happens.

Security recommendation: do not grant the "Consultor Regulatorio" role to other users or collaborators at your company. Accidental use of these permissions could cancel registrations or affect filings under review by Invima.
